Definition

What is Managed Ops?

Managed Ops is a monthly service where VSENK runs your automations for you. Analysts watch every workflow, handle the exceptions the automations raise, and report what happened each week in hours and dollars. Anything that spends money or changes a listing still waits for your approval.

It normally starts after an Autopilot Build, so the automations it runs were built and tested on your accounts first.

A week of analyst work

What your analyst hours buy.

Exceptions are worked as they arrive. The rest of the week follows a rhythm like this one. Example week; your rhythm follows your roadmap.

  1. Mon

    • Weekly ops report sent
    • Stock cover reviewed, PO drafts queued for you
  2. Tue

    • Reimbursement cases filed
    • Late POs chased with suppliers
  3. Wed

    • Settlement variances reviewed
    • New fee types mapped for your OK
  4. Thu

    • Ticket triage spot-checked
    • FBM address and stock exceptions
  5. Fri

    • Automation health check
    • Next new automation scoped

Every day: new exceptions are triaged and worked. Anything that needs money, a listing change or a judgment call about your brand comes to you with a recommendation.

FAQ

Managed Ops questions

Still unsure? The audit call is the place to ask. Book an Ops Leak Audit

Is there a minimum term?

Yes, three months. That covers the time it takes for exception patterns to settle and for the weekly report to show a trend.

What do the analyst hours cover?

Work the automations hand to a person: chasing supplier POs, preparing and filing reimbursement cases, drafting customer replies, reviewing settlement variances and resolving stock or address exceptions. Hours used are shown in every weekly report.

What if we need more hours in a month?

The weekly report shows hours used, so you see it coming. We agree on extra hours or a move to Plus before going over.

What is the difference between Core and Plus?

Core includes 40 analyst hours a month, the weekly ops report and a monthly review. Plus doubles the analyst hours to 80 and adds multichannel coverage and the sourcing module, which covers RFQ drafting and sample tracking.

Can we start Managed Ops without a build?

Managed Ops runs automations that are already in place, so it normally starts after an Autopilot Build. If you already have automations you want us to take over, the audit is the place to check them.

How do we cancel?

After the three-month minimum you can cancel with written notice. We hand over the runbook and remove our access the same day.

Start with the audit. Run it with us after.

The audit maps your operations, the build puts three automations live, and Managed Ops keeps them running. $1,500 to start, credited to your build.
